If you have full access permission to a shared mailbox that appears in the address book, you can use Outlook Web App or a desktop version of Outlook to open that mailbox. Using Outlook Web App you have two options to access the shared mailbox.
Open a shared mailbox in a separate browser window
If you do not access the shared mailbox on a regular basis, use this method.
1. Log in to your email account via Outlook on the Web.
2. Click on the circle icon on the top right-hand corner, and then click Open another mailbox...
3. On the search box, type the name of the departmental mailbox you want to open. Click on the mailbox name to select it.
4. Click Open.
5. The departmental mailbox will open in another window.
Add a shared mailbox so it displays under your primary mailbox
If you want to monitor the email from your primary mailbox and the shared mailbox at the same time, use this method.
In addition, after you complete this task, the shared mailbox and its folders are displayed in the left navigation pane each time you open Outlook Web App.
Add shared folder
- Sign into your account in Outlook Web App.
- On the left navigation panel right-click on the word Folders > the three-dots and then choose Add shared folder or mailbox.
- In the Add shared folder dialog box, type the name or email address of the shared a mailbox and then select Add.
- The shared mailbox will display in your Folder list.
- You can expand or collapse the shared mailbox folders as you can with your primary mailbox.
Remove shared folder
You can remove the shared mailbox from your Folder list. To remove it, right-click the shared mailbox, and then select Remove shared folder.
