Create a rule based on email message sender or recipients

Manage email messages by using rules in Outlook

Applies To: Outlook for Microsoft 365

A rule is an action that Outlook for Microsoft 365 for Windows runs automatically on incoming or outgoing messages. You choose what triggers the rule as well as the actions the rule takes. For example, you can create a rule to move all messages from your manager to a folder or to delete all messages with "Buy now!" in the subject.

Use inbox rules in Outlook on the web

Use inbox rules to automatically perform specific actions on email that arrives in your inbox. For example, you can create rules that will change the importance level of messages as they come in, automatically move them to other folders, or delete them based on certain criteria.

Rules only run on your inbox. They don't run on other folders.
