Expiration of Microsoft Teams and Groups

Unused Teams and Groups will accumulate over time and will consume limited resources. To prevent this from occurring, the Expiration policy of Teams and Groups is enabled as of July, 2023. 

The expiration of Teams and Groups will detect: 

  • Unused items that have not been utilized within 560 days 

  • Teams and Group owners will be notified 30 days, 15 days and 1 day before the team’s expiration date. 

  • If the item is not renewed before the expiration date, it will be deleted. After 30 days from deletion the group will not be recoverable.

* Note Group owners will have the ability to restore a group during this time if needed. 

 

Services/features/applications affected by this process: 

  • Microsoft Group 

  • Microsoft Team 

  • SharePoint Site 

  • Yammer/Viva Engage 

 

Here is an example of a deletion notice. 

Email Subject:  Action Required: [NAME of TEAM/GROUP] by [DATE]

After clicking on the "Renew Group" link within the email, users will be taken to the group renewal page to confirm this action. The page will show a confirmation that it was successfully renewed.

After clicking on "delete it now" link within the email, users will be taken to the page to confirm the group can be removed.
