Event Creation

This service provides a request for the creation of an event to handle invitations and registrations.

This service is used to manage alumni and donor events.  An event record is created in the Alumni/Donor CRM database that can be linked to invitees, attendees, and sponsors.  It is used in the invitation and reservation process.  An event record needs to be created before the following can occur:

  • An email invitation can be sent
  • Donations or ticket prices for the event can be received
  • RSVP's and registration can be performed
     

What is included

Advancement Services will provide the following:

  • Create the event record and if necessary a linked Event Record on the social media platform 
  • Invitees from Invitation lists will be linked to the event record
  • Registered attendees will be coded and linked to the event record
  • Post Event Registration Data Clean-Up is performed
  • Post Event Attendee Reports are available

Advancement Services can provide the following upon request (optional services):

  • Perform the email blast invitation.
    • This request must be entered separately under 'Email Blast Request'
  • Provide an excel file of invitees for hard copy invitations
    • This request must be entered separately under 'List Request;
    • This is dependent on the invitee records existing in the Alumni /Donor CRM database.
  • RSVPs are processed onto the event daily
  • Ticket and donation amounts processed daily(if fees or donations are collected it is mandatory that they be processed through Advancement Services)
  • Event RSVP reports sent to the event coordinator(s) nightly as the event approaches (approximately 2 weeks prior)
  • iPad Registration at the Event
  • Lists supplied to create Name Tags
  • Assigned Seating Arrangements for Formal Events

It is the responsibility of the requester to:

  • Provide all information regarding the event to Advancement Services
  • Coordinate all requested services regarding the event with Advancement Services.
  • Supply text (copy), labels, and any artwork needed for email blasts or website pages
  • Secure any university approvals on this project, copy or artwork
  • Secure any volunteers that may be needed for registration
