Instructor Responsibilities After ExamSoft and Canvas Sync

While the Canvas integration automates course and roster creation in the ExamSoft Legacy Portal, instructors still have specific manual responsibilities for managing assessments, accommodations, and grades.

At a glance

  • Rosters and user accounts sync automatically after the Canvas course is published and the daily ExamSoft sync runs at 6:00 p.m. Courses published after the daily sync will be processed during a later sync. Enrollment additions, drops, and other roster changes may take up to 24 hours to appear in ExamSoft.
  • Instructors must manually create assessments and configure student accommodations.
  • Grades do not sync automatically; instructors must initiate the grade push to Canvas.
  • Students experiencing login or account-switching issues may need to log out of Examplify and clear browser cookies.

Overview

The ExamSoft Canvas integration streamlines administrative tasks by automatically flowing user accounts and enrollments from Canvas into the ExamSoft Legacy Portal.

However, it is important to understand the limits of this integration. The sync is strictly for roster management. Instructors must directly oversee their assessments, configure specific student settings, and manage grading workflows manually.

Important Limitations & Requirements

Assessment creation & delivery

The integration does not copy or create exams. Instructors must handle assessments directly in ExamSoft.

  • Assessment Creation: Instructors are completely responsible for creating, duplicating, or importing their actual exams into ExamSoft.
  • Examplify Downloads: The roster sync does not automatically push the exam to the students' devices. Instructors must remind students to open Examplify and download the exam file prior to the assessment.

Accommodations & roster updates

Certain student settings require manual verification and configuration.

  • Student Accommodations: ADA accommodations, such as extended time limits configured in Canvas, do not sync. Instructors must manually configure and apply these accommodations to specific students directly within the ExamSoft portal.
  • Enrollment Sync Delays: Canvas Add/Drops are not instantaneous. Since the sync can take up to 24 hours, instructors need to verify their ExamSoft roster if a student is added to Canvas immediately before an exam date.

Gradebook synchronization

Grades require manual action to appear in Canvas.

  • Manual Grade Pushes: Grades do not automatically flow back to the Canvas gradebook when a student finishes an exam. Instructors must log into ExamSoft and manually initiate the grade push to Canvas.

Initial test exam requirement

For the initial implementation of the Canvas–ExamSoft integration, instructors must create and administer a test exam before delivering a live assessment.

The test exam should be used to confirm that:

  • The instructor and students appear in the correct ExamSoft course roster.
  • Students can log in to Examplify using the correct account.
  • Students can download the assessment successfully.
  • Students can launch, complete, and upload an exam successfully.

Login and account-switching issues

If a student has trouble logging in to Examplify or has previously used a different ExamSoft account on the same device, have the student log out of Examplify first and then clear their browser cookies before attempting to log in again.
